Position Description

The Document Control and CAD Engineer supports the setup of documentation systems and provides CAD drafting services, ensuring accurate management and revision of project documents and design drawings.

Major Areas of Responsibility

  • Assist the Senior DCC/CAD Engineer in setting up and maintaining project documentation systems in accordance with company standards.
  • Undertake drafting and drawings for the Engineers using CAD.
  • Receive, register, copy, scan, and archive project documents.
  • Ensure proper filing of physical and electronic documents for traceability and retrieval.
  • Monitor document workflows and assist in issuing controlled documents to relevant stakeholders.
  • Manage requests for documentation by users, including contractors.
  • Maintain and update the Document Distribution Matrix as directed.
  • Track the status of submitted documents and follow up on pending reviews or approvals.
  • Perform quality checks on documents before submission or archiving.
  • Assist in preparing document transmittals and maintaining up-to-date registers for internal and external communications.
  • Support the Senior Document Controller in coordinating document control tasks with engineering and project teams.
  • Maintain confidentiality and ensure document security protocols are followed.
  • Prepare ad-hoc reports on projects when required.
  • Assist in collating as-built documentation for handover and final archival.
  • Meeting with engineers, draftsmen, and designers to review blueprints and provide design drawings.
  • Assist in inputting design specifications into the CAD software.
  • Creating surface and solid CAD models according to Engineers’ specifications.
  • Reviewing CAD models with the Engineers and 3rd party service providers and making necessary adjustments where required.

Leadership

  • Supports project delivery by producing accurate, high-quality 2D and 3D technical drawings based on engineering designs and specifications.
  • Utilizes CAD tools to develop drawings for use during various project phases—tendering, construction, installation, and commissioning—ensuring compliance with relevant engineering and safety standards.
  • Works closely with engineers to understand design requirements, incorporates feedback, and provides clear technical documentation to contractors and users.
  • Ensures proper version control by issuing up-to-date IFC/AFC drawings and withdrawing outdated versions in line with project procedures.

Minimum Requirements

  • HND or equivalent qualification in Engineering or related field with a minimum of 8 years working experience.

Additional Desirable Qualifications

  • Certification in Document Control (e.g., ISO 9001 Document Control training, or equivalent)
  • Proficiency in CAD software such as AutoCAD, SolidWorks, or MicroStation
  • Familiarity with Electronic Document Management Systems (EDMS) like SharePoint.
  • Working knowledge of project lifecycle and engineering documentation standards

Required Knowledge and Abilities

  • Support the Senior Document Controller in maintaining a structured and compliant document control system across all phases of the project.
  • Register, track, and manage the flow of technical and non-technical documents in accordance with approved procedures.
  • Assist in issuing controlled documents (including IFC, AFC drawings, and revised packages) while ensuring previous versions are systematically withdrawn from circulation.
  • Ensure all incoming and outgoing documents are accurately logged, filed, and easily retrievable for audit and reference purposes.
  • Maintain and regularly update the Document Distribution Matrix and Document Control Registers to reflect the current status of project documentation.
  • Conduct routine checks to verify that project folders, document indices, and construction work packages are current and complete.
  • Scan, copy, archive, and upload documents and drawings in both electronic and hard copy formats as per project requirements.
  • Track document revisions and ensure that updates are clearly reflected across all relevant registers and repositories.
  • File and organize minutes of meetings, correspondence, and approvals issued during project execution.
  • Support the collation, quality check, and finalization of as-built documentation for handover and long-term archival.
  • Adhere to confidentiality and version control requirements to safeguard the integrity of project records.
  • Provide timely support to engineering, procurement, construction, and project teams by ensuring access to the latest approved documents.

Skills

  • Demonstrated experience in document control or records management within engineering or project-based environments
  • Strong familiarity with project documentation workflows, version control, and document lifecycle management.
  • Proficient in the use of Electronic Document Management Systems (EDMS) for tracking, filing, and retrieving project documents.
  • Solid understanding of engineering documentation, including the ability to read and interpret technical drawings, such as general arrangement, etc.
